On any given day, there are dozens of tasks that need your attention. There are compliance deadlines, reporting requirements, and renewal dates to remember. Some of these tasks happen on a monthly or quarterly basis, while others are one-off items that come up on occasion. You also have to follow up on tasks that have been assigned to other people on your team, such as audits and inspections.
Without a system in place for managing all these various tasks, it’s easy for things to slip through the cracks. Today, we’ll look at some of the ways you can manage EHS tasks in Perillon and keep everything humming along smoothly.
1. Track tasks & corrective actions through to closure
With Perillon’s TaskTrak module, you can track all your activities in one centralized location. Keep tabs on report deadlines, sampling events, scheduled audits — any date-driven activity. For tasks that happen on a set schedule, you can create daily, weekly, monthly, or yearly recurrences.
You can also create and assign tasks such as inspections to other users. And if someone leaves or retires, their tasks can easily be reassigned to another user to ensure continuity.
You can even link to your work order system, or automatically create corrective action tasks based on certain conditions such as inspection findings. Once you’re finished with a task, simply change the status to complete so that managers and supervisors can keep up with progress.
2. Generate alerts
You likely have many time-sensitive tasks that need to be completed by a specific deadline. Alerts can help you stay on track by notifying you when a task is due soon or overdue.
Much like how your smartphone’s calendar notifies you when you have an appointment coming up, you’ll receive an email reminding you that a task assigned to you needs to be completed. When you receive notifications is totally up to you. For example, you can set Perillon to notify you 3 days before a particular task is due so you’re never caught off guard.
You can also choose to receive notifications when an unfinished task is past due so that nothing gets overlooked. This saves managers the headache of manually following up on each assigned task.
3. View tasks on a centralized calendar
Perillon’s Task Calendar is a visual way to organize your work. You can see all your tasks in one view, and get more detail about a particular task by clicking on the hyperlink in the calendar. With this level of visibility, you’ll be able to plan your days and hit deadlines every time. The default calendar view is monthly, but you can also choose day or week view depending on your personal preferences.
With a centralized calendar, you can see what your entire team is working on in one place. That makes it easy to know who is overloaded and distribute the workload equitably. Use filters to view all the tasks and deadlines assigned to a user or group. You can also filter by task status, start and end date, task category, and more to find exactly what you’re looking for.
4. Attach documents
Unlike spreadsheets, Perilon’s task management module allows you to easily attach documents to your tasks. No matter who is working on a particular task, everything they need including permits, contracts, and agreements is at their fingertips. And, should someone leave the organization, you have all the relevant documentation to pick up where they left off.
Our customers have also used this feature to attach supporting documentation to various tasks so that they have a record of compliance and details on what is required for future obligations. Just think how much time you’ll save when you don’t have to go searching for this information!
5. Create sub-tasks
The ability to create sub-tasks within a task is one of our customers’ favorite Perillon features.
You can think of sub-tasks as your “to-do list”. They help you keep track of all the other related activities for a specific task. Sub-tasks are a helpful way to break down large, complex projects into manageable chunks.
You can also get alerts for each individual sub-task in order to keep your whole project right on schedule. This is especially helpful for managing your time effectively and ensuring that compliance deadlines aren’t missed.
